The Hospital Research Foundation Group (THRFG) is seeking a highly skilled and compassionate Client Services Coordinator – Programs, to join our team on a permanent part-time basis (0.8 FTE). As a Client Services Coordinator, you will be responsible for coordinating allied health, nursing, and support group programs across the Client and Patient Services (CPS) charities of The Hospital Research Foundation Group. These charities include THRFG – Parkinson’s, THRFG – Stroke, THRFG – Arthritis, and THRFG – Creative Health. The CSC – Programs, works closely with the Allied Health and Nursing teams to provide an integrated response to the clients who access our group-based services. In addition to scheduling, onboarding, and monitoring the programs, this role will attend and contribute to the facilitation of some group programs. Additionally, this role provides reception, administrative, and operational support as required.

We’re looking for individuals who possess:

  • A relevant qualification or certificate in an area relating to Community Support, Disability Services, Allied Health Assistant, Aged Care or equivalent experience.
  • Demonstrated relevant work experience in community development, aged care, allied health or similar environment.
  • Experience working with groups or in the community development field – highly regarded
  • Experience in an administration/coordinator role.
  • High level of proficiency with Microsoft 365.
  • Excellent communications skills, with the ability to interact with clients, families, carers etc.
  • Empathetic, caring and responsive to client needs.
  • Strong administration skills to manage office operational needs.

About the Role

Reporting to the Allied Health Lead, the Client Services Coordinator – Programs, will provide support to THRFG – Parkinson’s, THRFG – Stroke, THRFG – Arthritis and THRFG – Creative Health. This role includes:

  • Schedule, organise, and monitor support groups, activity groups, and seminars under direction from the Allied Health Lead.
  • Coordinate logistics including meetings, venues, materials, program calendars, and registrations.
  • Facilitate support and activity groups with guidance from the Allied Health Lead or clinical staff.
  • Communicate with stakeholders via the Client Management System, phone, and other methods.
  • Collect and record patient details (personal, medical, funding info) for group program intake.
  • Ensure all program forms are completed accurately, and client information is updated.
  • Support volunteers and group leaders with onboarding and role engagement.
  • Serve as the first contact for walk-in clients and phone inquiries, offering guidance or referrals.
  • Assist with event and project planning, execution, and evaluation, including data entry.
  • Represent CPS brands at events and assist clinicians on home visits as required.
